Importing multiple months of bank statements into QuickBooks: a catch-up routine

Catch-up work usually means a stack of statements: six months, a year, sometimes more, for an account whose bank feed only reaches back so far. Getting it all in is the easy part. The work is making sure every month is complete, nothing comes in twice, and each month reconciles before the next one starts.

What QuickBooks Online accepts per upload

From Intuit's "Manually upload transactions into QuickBooks Online" article (updated Aug 24, 2026; we re-read it on Oct 24, 2026) (Intuit):

  • Transaction lists (QBO suggested, or QFX or CSV): in English and 350 KB or less, with up to 1,000 lines per upload, one transaction per line.
  • CSV files need either 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), with every date in the same format.
  • For larger uploads, Intuit says to shorten the date range and download transactions in smaller batches.
  • Account statements can be uploaded as a PDF or image (JPG, PNG or HEIC) from any bank, as long as they are in English. QuickBooks extracts the transactions with AI and shows a side-by-side view for you to check. Intuit notes its team may review statements that need it.

The article does not say how many statements one PDF upload can hold. We would upload one statement per file, so each month can be checked against its own balances.

QuickBooks Desktop works differently: it takes bank transactions as Web Connect (.qbo) files. See can QuickBooks Desktop import a PDF bank statement.

1. Map the gap

  • Find the earliest transaction the bank feed brought in. Check the register and the For review and Excluded tabs.
  • Decide the first month the books need to start. The months between that and the feed's first day are the gap. Only the gap gets imported.
  • The full walk-through is in fill the gap before your QuickBooks bank feed.

2. Collect every statement in the gap

  • One PDF per statement period, per account. Name them so a missing month stands out, for example 4821_2025-03.pdf.
  • Include the statement that contains the feed's first day. You need it for the boundary check.
  • Missing a month? See catch-up when statements are missing.

3. Tie out each month, in order

  1. For each statement: opening balance + deposits − withdrawals = closing balance.
  2. Then chain them: each month's closing balance must equal the next month's opening balance.

Going in order matters. A month can tie on its own and still leave a hole: a missing statement, a statement from a different account, or two copies of the same month. The chain only breaks where the hole is, so you find it before anything is posted, not three reconciliations later. Details: check a statement PDF is complete before you import it. Our free tie-out checker shows the row where a CSV stops balancing.

4. Import only the gap, oldest month first

  • Keep one file per month. It stays well inside the 350 KB and 1,000-line limits for most accounts, and a bad month can be fixed without touching the rest. A very busy account may need a month split in two; see file too large.
  • The last file ends the day before the feed's first transaction. Check a few days either side of the boundary for anything dated differently in the feed and on the statement.
  • If something does come in twice, exclude the extra copy in For review. See duplicate transactions after a bank upload.

5. Reconcile month by month

  • If the account has an opening balance entry, its date and amount should match the beginning balance of the oldest statement you are importing.
  • Reconcile one statement at a time, oldest first, to each statement's ending balance. Don't start the next month until the current one reconciles.
  • If the beginning balance on the reconcile screen is off, stop and fix it rather than forcing an adjustment. See beginning balance doesn't match.

6. Then categorize and close

With every month reconciled, categorizing and cleanup go on solid ground. For the rest of the year-end routine, use the year-end bookkeeping catch-up checklist. If you'd rather hand the statements off, the year-end catch-up page describes our 12-month option: converted files plus a tie-out sheet for each month.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
